(Junior) Team Assistant (M/F)



Your Opportunity

As (Junior) Team Assistant at Intertrust in Geneva you will have the opportunity to work and collaborate with some of the best minds in trust and corporate management services. You will become the pillar of a professional environment by listening to (internal) customers’ requests and delivering the best possible (internal) customer services experience. You will play a key role in the Geneva office.

Your Responsibilities

Your typical day will consist of taking part in a large range of tasks including:

General Administrative Tasks

  • Preparation and maintenance of client files
  • Ensuring general filing, updating of procedures and invoicing preparation
  • Assisting with sales enquiries and viewings
  • Assist sales team in preparing sales documents and visits
  • Regular contact with different providers to resolve issues, breakdown, etc.
  • Have an eye for development and find always a way to improve the service and a better organization in the Geneva office

Document Management Tasks

  • Handling of incoming mail and delivering it to the (internal) client
  • Collecting outgoing post and packages
  • Record all tasks of franking and sending packages into client invoicing system
  • Scanning, indexation and virtual dispatching to relevant teams
  • Delivery of physical mail to teams
  • Prepare outgoing registered and express mail
  • Scanning of files and documents for the teams
  • Management of filing and archiving

Data Management Tasks

  • ViewPoint data set-up and maintenance
  • Maintain on a daily basis the quality of ViewPoint ensuring completeness, accuracy, and timeliness of data treatment, including – but not limited to - data entry, correction and maintenance
  • Report generation and quality control

Reception and Client Services

  • Warm and professional welcome of our guests and responding to their needs
  • Accompanying our guests in a professional manner
  • Dealing with all client enquiries and taking action in a timely manner
  • Building and keeping a perfect client relationship
  • Managing incoming calls with a professional introduction
  • Daily check of the floor, kitchen, vending machine, copy points, meeting rooms, toilets to ensure a clean, professional and welcoming environment
  • Stock management
  • Maintenance of standard room set-up

Meeting Room

  • Ensuring the meeting rooms and public area are ready on time to welcome our guests, and look professional and clean at all times
  • Managing bookings and setting-up of rooms
  • Managing catering requests, refreshments, coffee breaks and equipment

Your Profile

We are looking for a candidate who:

  • Has an excellent command of verbal and written English and French, German and/or any other language would be considered as an advantage
  • Provides an excellent presentation and a hospitality experience
  • Obtained working knowledge of MS Word, Excel, Outlook and PowerPoint. Knowledge of ViewPoint would be considered as an advantage
  • Has excellent organizational skills and is able to work under pressure
  • Has an ability to manage work and prioritize effectively
  • Possesses a strong (internal) customer service orientation
  • Is actively engaged and committed to the collective work of the team, offering assistance and information to ensure team goals are met
