To manage and administer the day to day trust and company activities of a portfolio of companies and trusts in accordance with the relevant Client Services Agreements and the various laws and regulations pertaining to the Group’s Guernsey regulatory licences.

The Key Responsibilities for the role are noted below and you will also be expected to undertake any such duties that are deemed a reasonable requirement, for example, participating in projects that are related to the role. 

Your role:           

·         To manage and administer a portfolio of complex trusts and companies including preparation of correspondence as required;

·         Liaise with lawyers, accountants, tax advisors and banks on all matters relating to the management of a complex portfolio of private wealth clients;

·         Assist to ensure all administration tasks are followed through to completion in a timely manner, including tasks delegated to other members of the Team (i.e. payments, drafting of minutes for routine tasks).  Provide on the job training and guidance for less experienced members of the Team;

·         Ensure that all client files are up to date and that Minutes and Meeting Notes have been drafted accurately with an appropriate level of detail;

·         Will carry out a first review of accounts prepared by the Accounts Team and ensure that they are received and signed off by Manager/Associate Director in accordance with agreed timelines;

·         Countersign own standard outgoing e-mails, faxes and letters as well as those for the Administrators as and when requested by the Manager;

·         In the absence of the Manager, liaise with Associate Directors and Directors on all client matters;

·         Review, in conjunction with the four eyes principles, company, trust and various other legal and banking documents;

·         Ensure that invoicing of fees and debt management, for own portfolio is managed in a timely manner, and for Team members if asked to do so by the Manager;  

·         Liaise with Fiduciary Investment Services department and provide them with the required client valuations in a timely manner;

·         Action any compliance review points and ensure that these are completed in a timely manner;

·         Support a strong communication ethos between Management and the team to encourage staff to communicate effectively;

·         Proactively keep an up-to-date awareness of current industry issues e.g. interest rate movements, changes in legislation i.e. Substance legislation.
